Why this job matters

 

This is a unique opportunity to directly support the senior leadership team (3 Directors) in the Group Centre of Excellence -Talent, Culture & Capability, the PA will be required to: -

 

  • Provide high quality PA and administrative support by running an efficient office focussing effort on achieving objectives.
  • The diary can constitute as much as 80% of your workload, when supporting more than one Leader, and its paramount to connect regularly to build a strong partnership and understand workstyles and align on priorities to keep the flow of work going and ensure things happen at the right time, and in the right order.
  • It is important in a changing and challenging environment to adapt and establish new ways of working, pioneering change by sharing and introducing collaboration applications to provide support and services, in the office and remotely, simplifying processes and communication using digital technology and applications to achieve results.

 

Diplomacy and discretion in keeping sensitive strategic, commercial and personnel matters - confidentiality and trust is paramount. Ability to work with minimum of instruction, anticipate needs and takes the initiative without being prompted are essential.

What you'll be doing

 

  • Diary & Time Management: Prioritise and manage complex calendars, ensuring effective use of time, breaks, and task prep.
  • Meeting Coordination: Plan meetings, prepare agendas and materials, and ensure timely follow-ups and task completion.
  • Travel & Logistics: Organise end-to-end travel itineraries, venue bookings, and ensure cost-effective, compliant arrangements.
  • Email & Call Screening: Monitor inboxes for urgent actions, respond to routine emails, and act as gatekeeper for calls and visitors.
  • Stakeholder Engagement: Build strong relationships, align on priorities, and collaborate across teams and functions.
  • Technology Proficiency: Confident in O365, Teams, and internal systems (e.g. finance, travel, room bookings); stays current with digital tools.
  • Communication & Events: Coordinate internal events, calls, and engagement plans, including virtual visibility initiatives.
  • Ad Hoc & Project Support: Deliver admin tasks, onboard new team members, solve basic IT issues, and support special projects.

The skills you'll need

 

  • Extensive diary management experience
  • Proven Personal Assistant background, ideally supporting multiple senior leaders
  • Strong ability to manage competing priorities and workloads
  • Effective stakeholder management and communication
  • Skilled in handling ad hoc administrative tasks, including:
    • Expense processing
    • Travel bookings
  • Resilient and adaptable in fast-paced, high-demand environments
  • Excellent multitasking and organisational abilities
  • Trustworthy and reliable, with a strong commitment to confidentiality
