As the Executive Assistant, you will be the trusted partner who ensures the MD’s time is optimised, communications are streamlined, and priorities are managed. You’ll be at the heart of strategic initiatives, helping to drive forward EE’s commercial and marketing ambitions.
What you’ll be doing
In the first 30 days, you will:
- Establish a solid understanding of the company, the MD Commercial & Marketing’s priorities, and begin building key relationships
- Onboarding and Training: Learn about EE’s specific operational procedures, products, services, and the broader telecommunications industry
- Understand the MD’s Style and Preferences: Get acquainted with the MD’s work style, preferences, communication style, and priorities
- Meeting Key Stakeholders: Schedule and coordinate meetings with key company executives and stakeholders to facilitate introductions and understand their expectations and ongoing projects. Establish relationships with the PAs supporting senior leaders across the Consumer Leadership team
- Managing Calendars: Start managing the MD’s calendar, ensuring an efficient schedule that aligns with their priorities
- Set Up Communication Channels: Establish and streamline communication channels between the MD and other departments
In the first 60 days, you will:
- Enhance efficiency in processes and deepen understanding of the MD’s strategic objectives
- Feedback Loop: Implement a feedback system to regularly discuss the effectiveness of current strategies with the MD and adjust as necessary
- Stakeholder Management: Share important information with the full Consumer Leadership team through appropriate communication channels
- Project Oversight: Take more active roles in managing specific projects or initiatives the MD is focusing on, possibly starting to handle some minor projects independently, in conjunction with the senior business manager for consume
- Event Planning: Begin planning and coordinating for any upcoming internal or external events involving the MD. Coordinate content and activities, leveraging stakeholder relationships and providing detailed analysis, working in conjunction with the internal comms team
- Report Handling: Start preparing and presenting regular reports on key matters that the MD needs to be updated on, including summaries of internal meetings and stakeholder updates, in conjunction with the senior business manager for consumer
- Networking: Facilitate opportunities for the MD to network with industry peers, possibly arranging attendance at key industry events
- Administrative Tasks: Ensure the smooth execution of administrative duties, including meeting coordination, travel arrangements, and expense management
In the first 90 days, you will:
- Be fully aligned with the MD’s strategic vision, acting as a trusted advisor, and taking on more complex tasks
- Strategic Meetings: Organise and participate in strategy meetings, providing insights from the interactions with other executives and external stakeholders. Develop and maintain internal and external relationships to enhance efficiencies
- Process Improvements: Identify and implement improvements in administrative processes and MD-office communications
- Long-term Scheduling: Manage the long-term planning of the MD’s commitments to optimize their time for strategic initiatives
- Crisis Management: Begin to handle minor crises or urgent issues independently, ensuring they are addressed efficiently without escalating everything to the MD
- Performance Review: Conduct a self-assessment and review with the MD to discuss accomplishments, challenges, and areas for further development
On an ongoing basis, you will:
- Continue to support your MD in driving the efficiency and effectiveness of their leadership team
- Support with the ongoing engagement of the MDs wider business unit
- Ensure the effective delivery of administrative duties, including but not limited to email screening and management, meeting coordination, travel, and expenses, and support the onboarding of senior leaders
- Deliver as a subject matter expert on administrative systems, activities, and processes
- Implement ways to improve working processes within the area of business support
- Manage the preparation and delivery of various communication tasks, ensuring information is cascaded to internal teams and externally as required. Maintain and contribute to project filing and documentation
- Line manager responsibilities for PAs across the unit
What we’re looking for
- You’ll have proven experience managing executive-level diaries in fast-paced environments, confidently prioritising time around strategic deliverables. You’ll be comfortable acting as a gatekeeper, challenging conflicting requests, and making real-time scheduling decisions that reflect business priorities
- You’ll have experience collaborating across senior leadership, functional teams, and external stakeholders to align priorities, resolve blockers, and drive outcomes. You’re confident coordinating multiple viewpoints and ensuring delivery stays on track — even when agendas don’t naturally align
- You’re highly organised with strong command of diary, inbox, and travel management for senior leaders. You’re confident using tools like Outlook and Teams to coordinate meetings, manage communications, and ensure the day runs smoothly — while also handling business travel and expense processes with minimal direction
- Self-starter & proactive: Demonstrated ability to anticipate needs, plan ahead to ensure the best outcomes, pre-empt required activity, rather than being reactive. Takes accountability for owning and delivering outcomes. Able to work autonomously with ability to cut through complexity with confidence to deliver against project / operational need
- Stakeholder management: ability to manage relationships with a range of senior internal and external stakeholders, including ExCo level, providing timely communication and always acting with the upmost integrity
- Project management/delivery: experienced across full project lifecycle and experience of delivering projects from start to successful deployment
- Communication: effective communication skills: strong communication skills to effectively convey information, ensuring clarity and understanding across all levels of the organization
