Why this job matters

The role is responsible for providing PMO support services to complex customer contracts within Enterprise. It helps reduce risk to BT, improve the probability of a successful delivery, improve customer satisfaction and supports senior Programme & Project managers. It ensures that we provide a mature set of services, including governance, reporting, risk and issue, dependency and obligation management. 

What you’ll be doing

  • Escalation point for Team Members, to provide guidance and direction to newer members of the team where needed.
  • Set up or work with in existing governance structure for Risk and Issues, Planning Dependency and Milestone Management, Financial Manangement, Content and Documentation, reporting internal and external.
  • Work closely with Project Managers to ensure that project reporting deadlines are met, and project documents are updated accurately, stored on the relevant public/team folders and reflect accurate status ensuring clear understanding of progress for open/live projects. 
  • Provision of reports to support the project management process, including status reports/updates to the customer 
  • Creation and ownership of the project RAID log. 
  • Creation and ownership of any other project or programme related trackers used for reporting to key stakeholders both internally and externally 
  • Follow up action logs where appropriate with project team members. 
  • Schedule delivery resource in line with agreed plans for implementation and provide clear work instructions to those resources (internal or external 3rd parties) to facilitate smooth delivery and minimise revisits or additional internal costs 
  • Provide accurate commercial forecasting using the designated reporting tools 
  • Track and monitor the progress and quality of work being performed by the assigned Project team to ensure projects delivered to time, cost and quality tolerances including the timely provision of any document deliverables. 
  • Use project scheduling and control tools to create and  monitor projects plans, work hours, budgets and expenditures for internal and external resource 
  • Keep the Project Manager (PM) and others informed about project status and issues that may impact client relations 
  • Participation in Gateway reviews including Project closure and lessons learnt review to determine any corrective actions that could be taken to improve future programme/project delivery in terms of cost, quality and customer satisfaction.

 

Note: Specific accountabilities will depend upon project/programme complexity and contractual obligations.

Skills You'll Need

  • Must have experience in a PMO role    
  • Experience of Document Management, including administrating the SharePoint site, version control and Process Documents
  • Experience of working within a matrix environment
  • Experience of working within a project management, service management or design environment
  •  Good knowledge of the PMO Roles and responsibilities  to aid coaching and support of the PMO Team.
  • Able to engage with a wide variety of stakeholders (at peer level and higher) to carry out the functions of the role. Maintain close liaison and strong relationships with key stakeholders  in the operation of project delivery 
  • Great attention to detail and willingness to work within a fast paced and demanding environment.
  • Microsoft Excel, SharePoint and PowerPoint skills. Microsoft Project skills and Planview
  • Knowledge of Programme and Project Management, Service Management and Design (desirable).
  • An externally recognised qualification, such as PRINCE2, P3O or equivalent would be desirable.
  • Maintain high standards of quality of work, personal conduct and punctuality at all times.
